Document checklists
Tourist visa — document checklist
- Passport issued within the last 10 years, valid at least 3 months beyond the intended stay, with at least 2 blank pages and not handwritten; plus photocopies of the front and last pages and of any Schengen visas issued in the last 10 years.
- Completed and signed Schengen visa application form with two recent passport-size photographs.
- Cover letter stating the travellers, dates, itinerary, purpose of visit, who is bearing the costs, and the applicant's occupation.
- Leave sanction letter on the employer's letterhead stating the sanctioned dates and the authorised signatory (for salaried applicants).
- Confirmed accommodation (hotel/B&B) booking covering the travel dates; if visiting other Schengen countries, bookings for those too; or an invitation letter (Lettera d'invito) from an Italian resident with a copy of their ID.
- Flight tickets or airline reservation.
- Personal bank statement for the last 3 months in original, with the bank's stamp and seal.
- Income Tax Return acknowledgement for the last 3 years or Form 16.
- Employment proof: last 3 months' salary slips plus appointment letter or contract; for proprietors, the company bank statement (3 months) and registration certificate; for retirees, 3 months' pension statement or proof of annual income.
- Overseas travel-medical insurance covering the whole trip with minimum EUR 30,000 cover including repatriation.
- Sponsor's cover letter and financial proof where a third party is bearing the costs.
- For minors: notarised parental-consent affidavit when travelling with one parent or a third party, with both parents' names appearing on the minor's passport.
Business visa — document checklist
- Schengen visa application form, completed and signed.
- Passport valid at least 3 months beyond intended departure, issued within the last 10 years, with 2 blank pages, plus copies of any previous Schengen visas.
- Two recent passport photographs meeting Schengen/ICAO specifications.
- Letter of invitation (Lettera d'invito) from the Italian company stating the purpose and dates of the visit and who bears the costs.
- Proof the inviting company is registered - Chamber of Commerce extract (Visura Camerale) dated within the last 6 months, and a copy of the ID of the authorised signatory.
- Covering letter from your Indian employer or your own company on letterhead confirming your position, the purpose of travel and approved leave.
- Indian company/employer registration proof (Certificate of Incorporation, GST or partnership deed as applicable).
- Flight tickets and hotel booking covering the full travel dates.
- Indian company's bank statement for the last 12 months (original, bank-stamped); where the applicant bears personal costs, add personal bank statements for the last 3-6 months, latest salary slips and income-tax returns.
- Travel medical insurance covering the entire Schengen area with minimum EUR 30,000 cover, valid for the full duration of stay.
- Biometrics (fingerprints and photograph) captured at the VFS Global centre.
Student visa — document checklist
- Passport issued within the last 10 years, valid at least 3 months beyond the study programme, with 2 blank pages and no handwritten entries.
- Completed national (Type D) application form with two 35x45 mm white-background photographs.
- UNIVERSITALY pre-enrolment confirmation and admission/enrolment letter from the Italian institution, plus proof of enrolment-fee payment (visible on bank statements).
- Final degree/school certificate and transcripts, attested and apostilled via E-Sanad; SDM attestation is not accepted by the Embassy of Italy, New Delhi.
- Declaration of Value (DoV) or CIMEA statement of comparability, if required by the institution.
- Proof of financial means of at least EUR 534.41 per month or EUR 6,947.33 per year, with original 6-month bank statements stamped by the branch manager and ITR for the last 3 years; only a parent may act as sponsor.
- Overseas medical insurance covering at least EUR 30,000, valid for the first period in Italy, including a repatriation clause.
- Proof of accommodation in Italy (hotel booking, rental agreement or university housing).
- Flight tickets showing intended travel (a round-trip reservation is required for a short-stay Type C course); do not purchase the ticket before the visa is issued.
- Cover letter / statement of purpose, CV and proof of proficiency in the language of instruction.
- For minor applicants: apostilled birth certificate, a notarised and apostilled parental affidavit consenting to expatriation for study, and a guardian's acceptance letter with ID proof.
Dependent visa — document checklist
- Passport issued within the last 10 years, with at least two blank pages, not handwritten and with no manual observations; the spouse's name endorsed in the passport where applicable.
- Completed national (D) visa application form, signed, with two recent white-background passport photographs.
- Nulla Osta al ricongiungimento familiare issued by the Sportello Unico per l'Immigrazione (S.U.I.), dated within six months of the application.
- Original attested copy of the sponsor's passport and of their Permesso di Soggiorno (or the renewal receipt if the permit is under renewal), attested at the Italian Comune, Tribunale or Notaio.
- Apostilled marriage certificate (for a spouse), attested by the Home Department and apostilled by the Ministry of External Affairs, issued in English or the dual-language version, showing the couple's photos, ages and marital status at the time of marriage; notary-attested translations are not accepted.
- Apostilled birth certificate of the applicant (and of any children), issued in English or dual-language; notary-attested translations are not accepted.
- Dichiarazione Sostitutiva di Atto Notorio from the sponsor confirming the marriage subsists and that no divorce or litigation is pending (spouse cases).
- Certificate of housing suitability (Idoneita Abitativa) and Stato di Famiglia issued by the Italian municipality where the sponsor resides.
- For dependent parents: evidence of remittances from the resident son or daughter, the applicant's bank passbook, a sworn affidavit of economic conditions and other children, and an apostilled ration card and family tree.
- One-way flight reservation and photocopies of the applicant's passport pages (front, last and any pages with endorsements).
