Italy business visa
A contract to close, a trade fair to walk, a supplier's site to inspect - when Italy calls on business, this is the visa that gets you there. It is a Schengen short-stay visa (Type C, the uniform Schengen visa), issued to Indian travellers attending meetings, contract negotiations, trade fairs, conferences or site visits with Italian companies. It does not permit employment or paid work for an Italy-based firm. What it does give you is the run of the entire Schengen area for up to 90 days in any 180-day period.
You apply through Italy's mission when Italy is your only destination, your main destination by length or purpose of stay, or your first point of entry into the Schengen area. In India, the process runs through VFS Global, acting on behalf of the Embassy of Italy in New Delhi and the Consulates General in Mumbai, Kolkata and Bengaluru - which office handles your file depends on your state of residence. You give fingerprints and a photo at the VFS centre; the consulate alone takes the final decision.
Who this visa is for
- โIndian passport holder (or legal resident of India) travelling to Italy for a genuine business purpose - meetings, negotiations, trade fairs, conferences or site visits - and not for employment.
- โItaly is your sole Schengen destination, your main destination by length or purpose of stay, or your first point of entry into the Schengen area.
- โYou hold an invitation (Lettera d'invito) from an Italian company that is registered with the local Chamber of Commerce (verifiable via a Visura Camerale).
- โPassport valid at least 3 months beyond your intended departure from the Schengen area, issued within the last 10 years, with at least 2 blank pages.
- โYou apply through the VFS Global centre with jurisdiction over your place of residence in India and can show sufficient funds and ties to India.
Visa options for Italy
Single-entry short-stay visa (Type C)
Permits one entry into the Schengen area for the specific business trip, for a stay of up to 90 days within any 180-day period.
Multiple-entry short-stay visa (Type C, MEV)
Allows repeated business trips within its validity; under the EU cascade the consulate may issue multiple-entry visas valid up to 5 years to applicants with a sound Schengen travel history, each stay capped at 90 days in any 180.
Documents typically required
- โSchengen visa application form, completed and signed.
- โPassport valid at least 3 months beyond intended departure, issued within the last 10 years, with 2 blank pages, plus copies of any previous Schengen visas.
- โTwo recent passport photographs meeting Schengen/ICAO specifications.
- โLetter of invitation (Lettera d'invito) from the Italian company stating the purpose and dates of the visit and who bears the costs.
- โProof the inviting company is registered - Chamber of Commerce extract (Visura Camerale) dated within the last 6 months, and a copy of the ID of the authorised signatory.
- โCovering letter from your Indian employer or your own company on letterhead confirming your position, the purpose of travel and approved leave.
- โIndian company/employer registration proof (Certificate of Incorporation, GST or partnership deed as applicable).
- โFlight tickets and hotel booking covering the full travel dates.
- โIndian company's bank statement for the last 12 months (original, bank-stamped); where the applicant bears personal costs, add personal bank statements for the last 3-6 months, latest salary slips and income-tax returns.
- โTravel medical insurance covering the entire Schengen area with minimum EUR 30,000 cover, valid for the full duration of stay.
- โBiometrics (fingerprints and photograph) captured at the VFS Global centre.

Submit at least 15 days before travel; you may lodge up to 6 months ahead. The standard Schengen adult visa fee is EUR 90, plus the VFS service charge.

Do you guarantee the visa?
No - and be wary of anyone who does. The decision rests solely with the Embassy or Consulate of Italy under the Schengen Visa Code. How long does the Italy business visa take?
Around 15 days from your appointment. In individual cases the consulate can stretch that to a maximum of 45 days, usually when extra checks or documents are needed. Apply at least 15 days before you travel; you may lodge up to 6 months in advance.
Can I work in Italy on a business visa?
No. A Schengen Type C business visa is for meetings, negotiations, trade fairs and conferences - nothing more. It does not permit employment with an Italian company; taking up work requires a separate national work and residence permit, which is an entirely different process.
