Document checklists
Tourist visa β document checklist
- Passport issued within the last 10 years, valid at least 3 months after your planned return, with at least two blank pages, plus a copy of the biometric data page.
- Schengen application form completed online via VIDEX, printed with all barcode pages and signed, together with the signed declarations of true information and valid insurance.
- One recent biometric photograph (35x45mm, white background, not older than six months).
- Personal cover letter stating your itinerary, mode of transport and purpose of visit.
- Flight tickets and a day-by-day travel itinerary.
- Proof of accommodation for the whole stay (hotel bookings, or a host's invitation with the host's ID and residence proof).
- Travel medical insurance covering all Schengen states for the entire trip, with minimum cover of EUR 30,000, from an insurer approved by the German missions in India.
- Proof of funds: personal bank statements for the last three months (bank-stamped), plus income proof by category β salaried: three months' payslips, employment contract, leave letter and ITR/Form 16; self-employed: company registration with GST and ITR for the last two years; retired: pension statements; students: enrolment and no-objection certificate.
- Visa fee: EUR 90 for adults and EUR 45 for children aged 6 to under 12; free for children under 6 β paid in rupees at the mission's exchange rate and non-refundable even if the visa is refused.
- All documents in German or English, with certified translations where required.
Business visa β document checklist
- VIDEX Schengen visa application form, completed online, then printed and signed.
- Two signed declarations required by the German missions: Declaration of True and Complete Information, and the declaration of travel with valid medical insurance.
- Passport issued within the last 10 years, valid at least 3 months beyond return, with two blank pages, plus a copy of the biometric/address page (and the last page for Indian passports).
- One recent biometric photo, 35x45mm, white background, 70-80% face coverage, not older than six months.
- Personal cover letter stating the purpose of travel, itinerary and intended means of transport.
- Invitation letter from the German business partner (in German or English) describing the planned business activities and the relationship.
- Original signed letter from your Indian employer/company on letterhead with your name, passport number, trip purpose, duration and a brief itinerary.
- Proof of the Indian business: Certificate of Incorporation, GST registration and company registration.
- Flight tickets and accommodation booking (hotel) for the entire stay, or host confirmation.
- Financial proof: last 3 months' salary slips (if employed), last 3 months' stamped bank statements, and income-tax returns / Form 16 for the last 2 years (last 3 years' ITR for a company sponsor).
- Travel medical insurance valid for all Schengen countries for the whole trip, with minimum coverage of EUR 30,000, from an Indian insurer approved by the German missions.
- Detailed business meeting schedule (required only when the stay exceeds 30 days).
Student visa β document checklist
- Passport issued within the last 10 years, with at least 2 blank pages, plus an A4 copy of the data page.
- Completed and signed national visa application form and declarations, in two identical sets.
- 3 recent identical biometric passport photographs.
- APS certificate (mandatory for most Indian applicants; exempt for PhD/Post-Doc, German/EU-funded scholarships, non-German degree in Germany, or non-Indian qualifications).
- Letter of admission from a German university, Studienkolleg admission, or language-course registration, confirming the language of instruction.
- Proof of financial means: a blocked account (Sperrkonto) of EUR 11,904 for the first year with a maximum withdrawal of EUR 992 per month, OR a sponsor's formal obligation letter (Verpflichtungserklaerung), OR proof of a German/EU scholarship.
- Proof of previous academic qualifications (e.g. 10th and 12th mark sheets and degrees for Bachelor; Bachelor's degree for Master; Master's degree for PhD).
- Proof of German or English language proficiency (e.g. IELTS, TOEFL, TestDaF, Goethe, DSH), not older than one year, unless confirmed by the admission letter.
- Proof of tuition-fee payment, if the university charges fees.
- Curriculum vitae and a signed motivation letter / statement of purpose.
- Travel health insurance covering the first 90 days from the intended date of entry.
- Visa fee: EUR 75 (approx. INR 8,100) for adults; EUR 37.50 (approx. INR 4,100) for applicants under 18, payable in rupees at the appointment.
Dependent visa β document checklist
- Passport valid for the intended stay, issued within the last ten years and with at least two blank pages, plus A4 photocopies of the data pages and any pages carrying entry stamps or visas.
- Two copies of the completed national (long-stay) visa application form with the signed declaration under Section 54 of the Residence Act, together with the additional family-reunion questionnaire.
- Two recent identical biometric passport photographs meeting the German specification.
- Proof of marriage matching how it was performed (for example a marriage registration certificate with a temple, Gurudwara or priest certificate; a Nikahnama; or a Special Marriage Act certificate) with supporting photographs; for children, the birth certificate issued under the Births and Deaths Registration Act, 1969, and proof of custody.
- Proof of German at A1 level for spouses where the rule applies: Start Deutsch 1 from the Goethe-Institut or telc, or the OSD Grundstufe Deutsch 1 certificate.
- Copy of the sponsor's passport and German residence document (Aufenthaltstitel: residence permit, EU Blue Card or settlement permit).
- Sponsor's proof of a secured livelihood, such as an invitation letter, employment contract and the last three months' payslips (specifically requested by the Mumbai, Kolkata and Chennai jurisdictions).
- Proof of the sponsor's accommodation and registration in Germany, such as the certificate of residence (Meldebescheinigung), generally not older than six months.
- Confirmation of health insurance valid from the day of arrival, through the sponsor's family coverage or travel health insurance until statutory cover begins.
- Proof of residence in India, such as an Aadhaar card, a ration card covering the past four years, or a voter's ID.
- For children aged 16 to 17 who do not move together with both parents or a sole-custody parent, proof of C1 German and, where one parent stays behind, that parent's consent declaration.
