Document checklists
Tourist visa β document checklist
- Passport issued within 10 years, valid 3+ months beyond return, with 2 blank pages
- Schengen application form completed on the VisaOnWeb platform
- Two recent passport photographs to Schengen/ICAO specification
- Flight tickets and a day-by-day travel itinerary
- Proof of accommodation in Belgium (hotel bookings, or an invitation letter from your host)
- Cover letter stating the purpose and dates of your trip
- Travel medical insurance covering the whole Schengen area for a minimum of EUR 30,000, including illness, accident, emergency medical evacuation and repatriation
- Bank statements for the last 3β6 months and latest income-tax returns showing sufficient funds
- Proof of employment or business, leave sanction where applicable, and evidence of ties to India
- Biometrics (photograph and fingerprints) given in person at the VFS Global centre
Business visa β document checklist
- Passport valid at least three months beyond departure from Schengen, issued within the last 10 years, with two blank pages, plus copies of past visas.
- VisaOnWeb application confirmation (the online form is valid for 30 days) and one recent Schengen-specification photograph.
- Invitation letter from the Belgian host company on its letterhead, stating the purpose, dates of the visit and who bears the costs.
- Covering letter from your Indian employer or company on letterhead confirming your position, the trip and leave, with proof of business (company registration/incorporation, GST, or proprietorship/partnership proof).
- Flight tickets and hotel reservation (or the host's accommodation) covering the entire stay.
- Travel medical insurance covering the whole trip with a minimum of EUR 30,000 cover valid across the Schengen area.
- Financial proof: personal bank statements for the last six months, latest income tax return / Form 16, and recent salary slips.
- Biometrics (fingerprints and a live photo) given in person at the VFS Global centre; children under 12 are exempt from fingerprinting.
Dependent visa β document checklist
- Valid passport (a travel document recognised by Belgium) valid for at least 12 months at the time the visa is issued, with blank pages.
- Completed and signed Visa D application form (generated through VisaOnWeb) with recent passport-size photographs meeting the specifications.
- Proof of the family relationship: marriage certificate or registered-partnership certificate, and children's birth certificates, legalised/apostilled and translated where required.
- Copy of the sponsor's valid Belgian residence permit or single permit and identity document.
- Proof of the sponsor's stable, regular and sufficient means of subsistence (recent pay slips, employment contract, tax and bank documents).
- Proof of adequate accommodation (registered lease, property title, or the employer's housing commitment).
- Proof of health insurance covering the joining family member(s) in Belgium.
- Recent police clearance / certificate of good conduct for applicants of majority age.
- Medical certificate as required for long-stay applicants.
- Proof of payment of the visa fee, the administrative contribution (redevance) payable to the Immigration Office where applicable, and the VFS service charge.
